Conwy County National Eisteddfod 2019


Tender: Concert Production and Co-ordination (Team or Individual)

2019 marks sixty years since the publication of one of the Welsh language’s most iconic volumes, Te yn y Grug by Kate Roberts.  The National Eisteddfod plan to host a concert at the 2019 Conwy County National Eisteddfod to celebrate the occasion.
We intend to produce an orginial show inspired by Te yn y Grug created by a composer, librettists (poetry / prose / drama) and director. 
This will be the 2019 Eisteddfod Choir project, with the rehearsals starting this autumn this year and the premier on the Eisteddfod Pavilion stage in Llanrwst in August 2019. The Eisteddfod Choir is one of Wales's largest lifelong volunteering and lifelong learning projects It attracts 150-200 amateur singers from each part of the Eisteddfod's catchment area annually.
The National Eisteddfod is very grateful to the National Lottery players for supporting the project through the Heritage Lottery Fund.
Brief :
The Team / Individual will lead on the delivery of the project. With responsibility for scheduling and co-ordination, evaluation and monitoring, budget management and promoting the project to various audiences.
Main duties and responsibilities:
• Work closely with the creative team to realize and reflect the plan's vision whilst programming
• Working closely with the Eisteddfod office on the arrangements with regard to the artistic workshops, choirs, other ensembles and arrangements concerning the concert itself
• Managing the project budget in accordance with the terms of the grant
• Co-ordinate and programme the community participatory workshops and ensure attendance at the workshops. The workshops are located in the County of Conwy and Cae'r Gors
• Prepare risk assessments for the workshops and ensure compliance with all relevant policies
• Collate and distribute the creative writing workshops content to the composer / artistic director
• Marketing and promoting the project e.g. press releases and social media output
• Assist with co-ordination of rehearsals and scheduling
• Create progress reports and various other documents on the project
• Prepare the final project report for the Heritage Lottery Fund 
• Manage project information and record data for monitoring and evaluation purposes 
• Assist in the promotion and staging of the concert at the National Eisteddfod

Person/s Specification:

Training, Experience and Qualifications
Project management experience.
Ability to manage project budgets.
Report writing and evaluation experience.
Relevant qualification and / or experience of working in the arts field.
Previous experience of programming participatory workshops
Project fundraising experience.
Knowledge and Skills
Fluency in Welsh and English – speaking and writing.
Experienced report writer and in evaluation and monitoring.
Effective time management skills.
Excellent organizational skills.
Excellent IT skills.
Experience of translating documents.
Record keeping
Understanding of the culture of the area, knowledge of the area itself and its people.
Awareness of the arts and Welsh language culture and heritage.
Social media experience.
Risk assessment experience.
Interpersonal skills
Well developed communication and interpersonal skills and experience of communicating with diverse partners. Experience of public speaking.
Special Conditions
Must be able to travel across Conwy and beyond.
The ability / availability to work at weekends, evenings and Bank Holidays from time to time.
Ability / availability to work during school holidays.
Live within reasonable traveling distance to the project’s delivery.
Willingness to be flexible in working hours patterns.
Must be available during the week of the National Eisteddfod in 2019 and during the week leading up to the performance..
